The Order Management Officer works in close collaboration with other order managers within the same domain.
Initialize Budgest orders
Enter orders in O’Fusion and report them into the related Budgest order based on information provided by requesters (CP/RP), relying on commercial proposals
Consolidate requests and batch orders where possible
Continuously monitor received versus ordered services and manage adjustments (additional funding / new orders)
Track Budgest & O’Fusion orders throughout the service lifecycle, from initiation to closure, including invoice dispute management when applicable
Ensure consistency and integrity of initialized and managed data (O’Fusion, indicators, and other verification tools)
Perform the full closure process in Budgest / O’Fusion tools
Provide required data for accounting entries
Process service receipts based on Symbioz entries validated for AT & Pools
Process receipts based on signed acceptance reports (PV) from CP/RP for fixed-price services
Ensure the signed PV is available before any receipt is entered in Budgest or O’Fusion
Send RAC (Service Acceptance Reports) and manage feedback from ESN partners
HNO: send notification emails, create orders, send monthly billing amounts to concerned ESNs (Toolssup), and process receipts
Travel: receive quotes, collect and verify supporting documents, and manage invoicing
Initialize and update internal resources (LCR)
Update the Budgest Resource View: start date, role, temporary end date, final end date
Ensure that all O’Fusion orders are validated by CODEP and associated with a CODEP reference number
Prepare the CODEP file based on Budgest orders
Manage the PMO committed budget
Collaborate with other order managers within the domain (backup organization)
Interact with requesters to collect required information for order entry
Coordinate with PMOs to ensure the validity of orders
Liaise with Performance Managers to obtain contractual information
Engage with requesters during service receipt or RAC processing in case of discrepancies between Budgest/O’Fusion and ESN invoices
Work with ESNs on commercial proposals, RAC feedback, invoicing, and forecast landing trajectories
Coordinate with requesters regarding ESN feedback on absence forecasts to update Boolo
Ensure supplier compliance with invoicing processes; manage and resolve supplier disputes
Guarantee consistency and integrity of data across systems (O’Fusion, Budgest, Symbioz, PMO data, CP/RP data), in collaboration with PMO/PP
Document and improve order management processes throughout the full service lifecycle, including service acceptance procedures
Act as the owner of the Budgest & O’Fusion order management repository, ensuring data completeness, accuracy, and continuous updates
Contribute to accounting closures and improve supplier relationships
Use BIOMAP or existing Budgest reports to validate data consistency
Fluent in French and English (spoken and written)
