About the role

Key Responsibilities:

  • Project Budget Management: Develop, monitor, and control project budgets, including recharging and swap operations between different entities or departments.
  • Vendor and Supplier Orders Management: Place and track orders for outsourced services, licenses, cloud resources, and IT tools; verify deliveries and ensure accuracy.
  • Vendor and Service Provider Relations: Assist in negotiating, monitoring, and maintaining relationships with IT solution providers, cloud vendors, and freelancers.
  • Support to Project Managers: Collaborate closely with project managers to coordinate financial aspects, especially costs related to internal and external resources.
  • Handling Recharging or Swap Operations: Ensure accurate cost and resource allocation across entities or departments, working in conjunction with financial controllers.
  • Interaction with External Management Controllers: Provide necessary documentation, justifications, and reports during audits or external financial reviews related to IT projects.
  • Monitoring Contractual and Performance KPIs: Understand the contract in detail, track performance indicators, and ensure proper reporting of service levels, licenses, and cloud resources.
  • Process Management and Optimization: Analyse and improve internal processes related to financial management, procurement, and resource allocation to enhance efficiency.
  • Reporting and Continuous Improvement: Develop dashboards and monthly reports to monitor team performance, process efficiency, and project financial health, supporting decision-making.
  • Internal Coordination: Act as a liaison between development teams, finance, suppliers, and external entities to ensure seamless operations.
  • Transversal Activities: Support project managers and team leads with transversal activities such as access reviews, process updates, communication, documentation, and tool harmonization.

About you

As an IT Financial and Administrative Program Lead,  you will support the program director in managing department budgets, contracts, and supplier relationships. You will coordinate with project managers and team leads to ensure smooth financial and process operations, contributing to overall operational efficiency and process improvement within the team. Plans, monitors and secures required resources and uses formal processes and tools to manage resources, budgets, risks and changes.

Key Skills:

  • Strong understanding of recharging, swap processes, and multi-entity management within an IT environment.
  • Expertise in process management, improvement, and optimization techniques.
  • Proficiency with financial management tools, cost tracking, KPI monitoring, and reporting.
  • Good knowledge of IT suppliers, cloud providers, licenses, and related services.
  • Ability to manage multiple stakeholders across technical and financial domains.
  • Rigor, organizational skills, and effective communication abilities.
  • Capacity to work effectively in a multicultural environment with French stakeholders from various entities within a complex setting.

 

Education and Experience:

  • Education: Degree in Management, Finance, Administration, IT, or Process Improvement Methodologies (e.g., Lean, Six Sigma).
  • Experience: 5+ years’ experience in financial or administrative management within IT or software development projects, with a focus on process improvement.
  • Knowledge: Familiarity with IT-specific processes including license management, cloud resources, recharging, swap operations, and process optimization.
